Responsabilities

  • Oversee the Banks’ purchasing activities, including office supplies, furniture, fixed assets, newspaper, printed documents, etc; set guidelines, methods and objectives for an efficient purchasing policy. Liaise with external contractors, landlords, vendors, suppliers, etc.
  • Supervise the general maintenance of the premises (technical issues, cleaning, etc.).
  • Supervise the mailing, reception and switchboard services.
  • Manage facilities planning including physical layout and space allocation, office moves, preparation of cost estimates for space allocations, coordination with teams / contractors for reconfiguring space, furniture and equipment.
  • Set up and implement a coherent branch security policy in order to cover the main physical and rational risk elements.
  • Ensure the safety of the staff members at all times and keep employees aware of the security regulations.
  • Participate in the annual budget’s preparation as regard to the administrative costs.
  • Prepare and keep all administrative and security directives, procedures and policies duly updated.
  • Act as the Security Officer.
  • Act as the IT Coordinator Officer (coordination with Head Office and local IT suppliers).
  • Act as back-up of the Accountant for general accounting tasks.

Profile

  • 10+ years’ proven experience in an Administration/Facilities/Security function in a similar position in a Bank in Luxembourg
  • Previous working experience as IT coordinator/helpdesk support
  • Knowledge of basic accounting and finance principles
  • Familiar with technical and facilities management practices
  • Multi-tasks, polyvalent, flexible
  • Dynamic, open minded
  • Agile and adaptable to respond rapidly to changing or unplanned situations
  • Analytical and problem-solving skills
  • Negotiation skills
  • Capable of using initiative
  • Team and customer oriented
  • Strong verbal and written communication skills in French and English
  • Proficient in MSOffice
